1. About These Terms
These Terms of Service apply to programmes provided by STEM For Kids Ltd and/or STEM for Kids Robotics Ltd. The company identified on your booking confirmation or invoice is the contracting party for your booking.
“SFK”, “we”, “us” and “our” means the relevant STEM for Kids contracting entity. “Parent”, “guardian”, “you” or “customer” means the adult making the booking or responsible for the child.
2. Our Programmes
SFK provides STEM, robotics, coding, engineering, VEX GO, VEX IQ, VEX V5, competitions, camps, workshops, trials and related educational services. Content, age ranges, times, venues, instructors, equipment and availability may vary and may reasonably change.
We provide services with reasonable care and skill. Educational outcomes and progress vary, and no particular academic, competitive or technical result is guaranteed.
3. Parent/Guardian Responsibility
Bookings for children must be made by an authorised adult. You confirm that information provided is accurate and that you have authority to provide information and permissions concerning the child.
- Provide accurate contact, emergency, medical, allergy, SEND and accessibility information relevant to safe participation.
- Tell us promptly about material changes affecting participation or safety.
- Ensure the child follows reasonable instructions, safety requirements and the Student Code of Conduct.
- Ensure appropriate drop-off and collection arrangements.
4. Booking and Acceptance
A booking request is accepted when SFK confirms the booking and any required payment has been received. By booking, you agree to these Terms, the Student Code of Conduct and any programme-specific terms.
Mandatory consumer rights and applicable law prevail over conflicting provisions.
5. Fees, Payments and Deposits
5.1. Fees are stated in the applicable booking information, invoice or written fee communication and are due by the stated date.
5.2. Non-refundable and non-transferable fees: Fees paid are non-refundable and non-transferable, except where a refund or other remedy is required by applicable law or expressly agreed by SFK in writing. Fees paid for one child cannot be transferred to another child, sibling or any other person.
5.3. Security deposits: Where a security deposit is collected, it is refundable only after the child has completed at least three months in the relevant programme, subject to the deductions set out in these Terms. If the child discontinues the programme before completing three months, the deposit will be non-refundable, except where a refund is required by applicable law.
5.4. Deposit deductions: Outstanding fees and other amounts properly due to SFK may be deducted from the deposit. SFK may also deduct the reasonable cost of repairing or replacing property or equipment lost or damaged through the child’s negligence, misuse or deliberate actions, subject to applicable law. Any remaining refundable balance will be returned within a reasonable period after the relevant account has been settled.
5.5. Monthly subscriptions or recurring plans may be processed through Stripe or another payment provider.
5.6. Discounts and offers: Discounts, promotional prices and special offers are valid for the period expressly stated when offered. Where no validity period is stated, the offer is valid for a maximum of 15 days from the date it is communicated. Offers cannot be combined unless expressly stated otherwise.
5.7. Competition fees and expenses: Competition entry fees and related expenses, including travel, transport, accommodation, boarding, meals and other competition-related costs, are separate from course fees unless expressly stated otherwise. These expenses must be borne by the Parent/guardian.
5.8. Fee-related communication: All fee-related requests, notices, clarifications, payment queries, refund requests, deposit queries, discount agreements and other fee-related communications must be made in writing by email to [email protected]. SFK will treat this email correspondence as the official record of fee-related requests and agreements. Communications through telephone calls, verbal conversations, WhatsApp, SMS, social media or other informal channels will not constitute an official record of a fee-related agreement or commitment unless subsequently confirmed by email. This administrative requirement does not override any statutory rights or legally effective notice.
5.9. Nothing in this section excludes or restricts statutory consumer rights that cannot lawfully be excluded or restricted.
6. Subscriptions and Recurring Payments
Where a recurring plan is offered, the applicable fee is charged at the stated frequency until cancelled. Cancellation does not normally entitle the customer to a refund of fees already paid, except where required by law.
Subscriptions may normally be cancelled with at least one month’s written notice, subject to Section 7. Statutory cancellation rights remain unaffected.
7. Cancellation, Discontinuation and Notice
7.1. For ongoing programmes, either party may normally terminate the arrangement by giving at least one month’s written notice.
7.2. A Parent/guardian wishing to discontinue a child must send written notice by email to [email protected]. The notice period starts on the date the email is received by SFK.
7.3. Fees falling due during the notice period remain payable, whether or not the child attends the remaining sessions, unless SFK agrees otherwise in writing or applicable law requires a different outcome.
7.4. Missed lessons and make-up lessons cannot be used to offset, replace or shorten the notice period or any fees payable during it.
7.5. Course fees, lessons, missed lessons, make-up lessons and notice periods are non-transferable and cannot be assigned or credited to another child, sibling or other person.
7.6. Nothing in these Terms removes a cancellation or termination right that cannot lawfully be excluded. Where a service is supplied on a specific date or period, statutory cancellation rules may differ depending on the nature of the service.
8. Attendance, Missed Sessions, Make-up Lessons, Closures and Changes
8.1. Missed sessions
Fees do not normally reduce because a child misses a scheduled session.
Where a child misses a lesson without providing the required advance written notice under Section 8.2, the lesson will be treated as consumed. No make-up lesson, refund or fee credit will be provided for such an absence, except where required by applicable law. This reflects the advance reservation of the child’s place and the planning of instructors, equipment, materials and other resources.
8.2. Eligibility for make-up lessons
Where a child is unable to attend a scheduled lesson, a make-up lesson may be arranged only if the Parent/guardian provides prior written intimation by email to [email protected] at least seven calendar days before the scheduled lesson.
The email must clearly identify the child and the lesson being missed. Failure to provide the required notice means that the lesson will normally be treated as consumed and will not qualify for a make-up lesson, subject to applicable law.
8.3. Scheduling make-up lessons
Make-up lessons are generally scheduled on Wednesdays and Thursdays, subject to instructor availability, programme schedules and available places.
SFK does not guarantee a particular date or time for a make-up lesson. Parents/guardians are responsible for arranging and attending eligible make-up lessons within the permitted period.
8.4. Annual limit
A maximum of six make-up lessons per child per academic year may be scheduled. Missed lessons beyond this limit will not qualify for make-up lessons.
For the academic year covered by this policy, all make-up lessons must be completed by 31 August 2027.
8.5. Expiry of make-up lessons
All eligible make-up lessons must be availed of no later than 31 August 2027. Any unused make-up lessons will expire after that date and cannot be carried forward, extended, exchanged or converted into a refund or fee credit, except where required by applicable law.
8.6. No refunds or fee credits for missed or make-up lessons
No refunds, fee credits or monetary compensation will be provided for missed lessons or for make-up lessons that are not scheduled or availed of within the permitted period, except where required by applicable law.
All fees paid remain non-refundable and non-transferable, subject to statutory consumer rights.
8.7. No adjustment against notice period
Missed lessons and make-up lessons cannot be adjusted against, substituted for or used to offset the one-month notice period or any fees payable during that period.
8.8. Non-transferability
Course fees, scheduled lessons, missed lessons, make-up lessons and notice periods are strictly non-transferable. They cannot be transferred, assigned or credited to another child, sibling or any other person.
8.9. Changes and cancellations by SFK
SFK may reasonably reschedule, relocate, combine sessions, substitute instructors or alter activities because of staffing, safety, venue, equipment, weather or operational circumstances.
Where SFK cancels a service and applicable law requires a refund or other remedy, SFK will provide that refund or remedy.
9. Competitions and Travel
Competition participation may involve separate costs, including competition entry fees, accommodation, boarding, meals, travel, transport and other expenses. These are payable separately by the Parent/guardian unless expressly included in the relevant programme fee or otherwise agreed in writing.
Third-party competition organisers may impose their own rules and requirements.
10. Equipment and Property
Students must use SFK equipment, robotics kits, computers, tools and other property responsibly and follow safety instructions.
A Parent/guardian may be responsible for reasonable costs arising from deliberate or negligent damage caused by the child, subject to applicable law. Where a security deposit is held, such costs may be deducted in accordance with Section 5.
11. Safety, Behaviour and Removal from Sessions
Students must comply with safety instructions and our Student Code of Conduct. SFK may temporarily remove a student or require a Parent/guardian to collect the child where behaviour presents a safety risk, seriously disrupts a session or breaches the Code. Serious or repeated misconduct may result in suspension or termination in accordance with the Code and applicable law.
12. SEND, Accessibility and Medical Information
We aim to provide an inclusive environment and welcome children with SEND and accessibility requirements. Parents/guardians should provide relevant information so that we can consider reasonable adjustments and support.
Where we reasonably determine that we cannot provide a safe and appropriate environment despite reasonable measures, we may discuss alternatives, suspend attendance or terminate enrolment, taking account of applicable equality and consumer law.
13. Safeguarding and Emergency Situations
We maintain appropriate safeguarding and safety procedures. Where we reasonably believe a child is at risk of harm or urgent action is required, we may contact a Parent/guardian, emergency services, safeguarding professionals or appropriate authorities where permitted or required by law.
14. Photography and Media
We may use photographs or videos for parent communications, the website, social media or advertising where the relevant parental/guardian permission has been obtained. Photography consent is separate from acceptance of these Terms.
15. Intellectual Property
SFK and its licensors retain intellectual property rights in teaching materials, lesson plans, content, branding, software, documents, photographs and other materials unless stated otherwise. Materials supplied to students are for personal educational use and must not be commercially reproduced, distributed or resold without permission.
Students retain ownership of original work they create where they would otherwise own it, subject to third-party rights and competition or programme rules.
16. Online Services and Third-Party Platforms
We may use third-party platforms for booking, payments, communications, learning, attendance, analytics or administration. The platform may change. Third-party services may have their own terms and privacy notices.
SFK is not responsible for interruptions caused by third-party services outside our reasonable control, although we will take reasonable steps to restore or replace affected services where appropriate.
17. Privacy and Data Protection
Our processing of personal information is described in our Privacy Policy. We process Parent/guardian and children’s information in accordance with applicable UK data protection law, including the UK GDPR and Data Protection Act 2018.
18. Liability
Nothing excludes or limits liability where unlawful to do so, including liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any liability that cannot legally be excluded.
Subject to this, SFK is not responsible for losses that are not reasonably foreseeable or arise from circumstances outside our reasonable control. Nothing affects statutory consumer rights or the requirement to provide services with reasonable care and skill.
19. Events Outside Our Reasonable Control
SFK will not be liable for delay or failure caused by circumstances beyond reasonable control, including severe weather, fire, flood, epidemic or pandemic restrictions, power or internet failure, venue closure, industrial action, government action or serious equipment failure.
We will take reasonable steps to minimise disruption and, where appropriate, offer rescheduling or another reasonable remedy, subject to applicable law.
20. Complaints
Complaints should be sent to [email protected] with sufficient details to identify the child, programme and issue. We will review complaints fairly and respond within a reasonable period.
21. Changes to These Terms
We may update these Terms where reasonably necessary because of changes to services, systems, suppliers, operations or law. We will not use a change to remove or restrict statutory rights. For ongoing programmes, appropriate notice of material changes will be provided where required.
22. Governing Law and Jurisdiction
These Terms and disputes arising from them are governed by the law of England and Wales. Subject to mandatory consumer rights, the courts of England and Wales will have jurisdiction.
